Elite Treatment Coordinator functions as an integral part of your practice

Our service is designed to help you stay connected with your patients and ensure they stay on track with their dental care.

Per Contacted Patient

Our clients are invoiced on a “per contacted patient” basis.  Up to 7 attempts are made over a 4 week period to engage with your patients, giving us the best chance to reconnect and schedule those important appointments on your behalf:

  • 4 phone calls
  • 1 voice messages
  • 1 SMS reminders
  • 1 emails

Which Patients Do We Contact

Our clients choose the number of patients an Elite Treatment Coordinator contacts from the following options:

  • Lapsed Patients: We re-engage with patients who have missed their routine check-up and cleans, helping to bring them back into your practice. 

    This is a great opportunity to tidy up your database.  Our Elite Treatment Coordinators will update patient's details and inactivate patients who no longer attend your practice.

  • Open Treatment Plans: Patients with incomplete or open treatment plans are contacted to remind them of their required treatment.  We present their plans in laymans terms and discuss  payment plan options if required (based on the type of payment plans your practice offers).

  • Both Patient Categories: You have the option for your Coordinator to contact both categories of patients—those with missed appointments and those with outstanding treatment plans—maximising the impact on your appointment bookings.

To ensure you are always in the loop, we update patient records at every point of contact.  We liaise with your admin team via Teams or Slack and also provide monthly reports and regular catch-ups, keeping you informed about the progress and outcomes of our efforts. We believe in clear communication and long-term relationships, both with your patients and with your practice.
